On behalf of Expo 2020 and Her Excellency, the Ceremonies and Daily Production team will be responsible for the delivery of the Expo 2020 Opening and Closing Ceremonies, The Special Days, The Daily Show and the daily programming content in the iconic Al Wasl Venue.
The Administrator will support the Ceremonies team to ensure they are able to efficiently deliver their program of work, in all aspects of delivery, including contractor liaison and issue resolution with FAs internally to be able to meet the project delivery across the wider business, day to day operations of the project, and provide delivery support to the Director.The main responsibilities of the role include: Responsible for inputting all relevant requests onto the SAP/ ERP system for assigned Projects; Responsible for managing Project Trackers for assigned projects to be accurately updated on a weekly basis; Responsible for keeping an impeccable archive of all relevant documents in Project Folders for assigned projects on a weekly basis; Responsible for onboarding Freelancers / Consultants as assigned by your line manager; Update and manage the Asset register and all 3rd Party inventory lists as it pertains to programming and produce and file all documentation for collections and deliveries of goods from Expo Storage i.e. Goods Delivery and Goods Collection forms; Provide accurate and timely reporting to support departments in relation to assigned Projects namely Finance, Procurement, Contracts; Flexibility to work late and if required on the weekend in the lead up to and on-site in the Organizers / Production Office. The purpose will be to process any variations and additional items being ordered onsite so that these can be processed in a timely manner; Coordinate any project specific meetings on behalf of the Planning lead i.e. with Suppliers / End-Users / Stakeholders / Guests.
2+ years’ experience, ideally in events / venue technical production, as well as:A Bachelor's Degree within a relevant field; Excellent Data management and data entry skills, speed and accuracy; Ability to work to tight deadlines; Ability to learn new systems and expand role; Reliable, flexible approach;
